Add a staff member in 60 seconds

Enter their email

Go to Settings → Team and enter the staff member's email address.

Choose their role

Select Owner, Manager, Cashier, or Waiter. The role determines what they can see and do.

They log in

If the staff member already has a CafeOS account, they get access immediately. New staff create a free account using their email.

Designed for busy hospitality teams

No password sharing

Each staff member has their own login. No shared passwords. If an employee leaves, remove them from your team in one click — they immediately lose access.

Multi-venue staff

If you run multiple venues, you can add the same staff member to different venues with different roles. A manager at one site might be a cashier at another.

Reservation assignment

When a reservation comes in, you can assign a specific waiter to it. That waiter receives the assignment and can see the reservation details when they log in.

No software training needed

Each role's interface shows only what's relevant. A waiter sees their tables and orders. They don't need to navigate a complex system to do their job.

Common questions

Is there a limit on how many staff I can add?
No. CafeOS does not charge per seat or per staff member. Add as many staff as your venue needs.
Can a staff member work at multiple venues?
Yes. A staff member can be added to multiple venues, each with their own role. They switch between venues from within their CafeOS account.
What happens when a staff member leaves?
Remove them from your team in Settings → Team. Their access is revoked immediately. Their account still exists (it's their personal CafeOS account) but they can no longer see your venue data.
